Save and Save As Shortcuts in Excel for Mac (⌘S, ⇧⌘S and F12)

Save and Save As Shortcuts in Excel for Mac (⌘S, ⇧⌘S and F12)

If you are moving from Windows, Ctrl+S is probably already in your fingers. On a Mac it still saves, but the key you reach for changes, and Save As works differently from what you may expect.

Quick answer: In Excel for Mac, press ⌘S to save and ⇧⌘S to open Save As. Microsoft also lists Ctrl+S for Save and F12 for Save As, so the Windows habit partly carries over. If you want the exact Windows sequences, including Alt-key ones, the Mac Excel Shortcuts app maps them onto the Mac keyboard.

On a MacBook the top row defaults to brightness, volume and similar controls. If F12 does nothing, hold fn as well (fn+F12), or change the setting described in our function keys guide. If your shortcuts have stopped responding entirely, see why Excel shortcuts stop working on a Mac.

How AutoSave changes Save

If the file is stored in OneDrive or SharePoint and AutoSave is switched on at the top left of the window, Excel saves your changes continuously. ⌘S still works, but there is little to save. When AutoSave is off, or the file lives on your Mac, nothing is saved until you press ⌘S.

Two habits are worth building:

  • Press ⌘S after every meaningful edit, even with AutoSave on. It costs nothing.

  • Use ⇧⌘S before a risky change (a big sort, a find-and-replace across the sheet) and save a dated copy first.

Save As: formats you will actually use

Press ⇧⌘S, then pick the format from the File Format menu:

  • Excel Workbook (.xlsx): the normal choice.

  • CSV UTF-8 (Comma delimited): use this for data going into other systems. The plain "Comma Separated Values" and older "Macintosh" CSV options can turn accented characters into garbage.

  • PDF: for sharing a fixed layout.

  • Excel Binary Workbook (.xlsb): smaller files for very large models.

Common problems

  • ⌘S opens a dialog instead of saving. The workbook has never been saved, so Excel needs a name and location. That is normal for a new file.

  • Save As seems to do nothing. Another window or dialog may have focus. Click a cell first, then try again.

  • F12 changes the volume or brightness. Add fn, or switch the Mac's function-key behaviour.
